Sacred Heart Parish

Located in the heart of downtown Tampa, Sacred Heart Catholic Church is a Franciscan Parish serving a dynamic mixture of parishioners, visitors, and the local business community.
The parish Event / Hospitality & Parish Outreach Manager is responsible for implementing, organizing, or assisting with the various experiences, meetings, outreach, and events conducted at Sacred Heart, working with staff, volunteers, ministry leads, and other various committees to ensure proper execution of each event. This position is considered full-time (40 hours per week) and may include some weekends.
Key Responsibilities
Event
- Establish, form, and lead a parish Events Committee to organize and plan parish-wide events
- Liaise with vendors, individual ministries, staff, and stakeholders during the event planning process
- Manage (at times delegate) all event set-up, tear down and follow-up processes
- Maintain the annual event plan and calendar, while proposing ideas for additional parish events, and thoughts to improve event quality
- Maintain event budgets, and conduct vendor research, gathering information to negotiate contracts and rates alongside the parish business manager
- Maintain a schedule of parish venues, and provide logistical support to ministries when requested
- Conduct final inspections on the day of the event to ensure everything adheres to the parish’s standards
- Analyze and provide feedback to the staff post-event
- Collaborate with the Communications Manager to develop graphics and marketing materials for events, publish on website and social media, and communicate to the appropriate mailing lists
- Assisting ministries in coordinating certain events (i.e. Theology on Tap for the Young Professionals, Social for the Historical Society, KOC Movie Night, etc.)
- Act as a liaison and perform site visits for diocese or outside organizations using North Campus facilities
- The current event that fall within the scope of these responsibilities include:
• Major Events (Gala, Fall Festival, and others that may arise)
• Seasonal Events (Transitus, Lenten Soup Suppers, any seasonal receptions)
• Special Events – coordinate with other parish ministries (Ministry Fairs)
• Volunteer Appreciation events
Hospitality
- Establish, form, and lead a parish Hospitality Committee to advise and assist in the visioning of welcoming and hospitality functions
- Maintains hospitality supplies for ease of use, this would include ordering supplies for parish events including, but not limited to: paper goods, plastic ware, coffee, and tea supplies, as needed
- Assist in helping departments and ministries coordinate event dates, ensuring the group is set up for success by communicating with them planning, setup and cleanup details for event, including that the group order their own supplies needed
- Support parish ministry celebrations with hospitality services
- Coordinating a repast with a the family after a funeral if needed.
- The current hospitality that fall within the scope of these responsibilities include:
• New Parishioner Welcome dinners
• Weekend Coffee and Donuts
• University of Tampa dinners
• Bake Someone Happy
- Cookies with St Nick
Outreach
- Assist in the development and implementation of the parish calendars for office, ministry, and facilities
- Working with the ministry leaders and advocating for their continued health and growth
- Serve as a member of the parish outreach committee
- Act as Staff Liaison to the following Outreach Ministries
- Bicycle Ministry
- Hands of Hope
- Hillsborough Community Homeless Outreach (When at Sacred Heart)
- Love INC,
- Loving Heart INC
Skills & Competencies
- Detail-oriented with exceptional interpersonal skills
- Ability to work independently as well as with a team
- Capable of managing several projects at one time as well as adaptive to changing work priorities
- Supervisory or people management experience a plus
Qualifications
- Pursuing or possessing a degree (AA or BA) in Hospitality, Business, Event Management or Marketing or equivalent experience
- Experience in Event Management, Planning, Tourism, or Marketing
- Proficiency in all relevant planning tools, including EventBrite, CVENT, and Social Tables
- Experience with ParishSoft CRM or Flocknote also a plus
Salary: Salary commensurate with experience.

Ability to commute/relocate:
- Tampa, FL 33602: Reliably commute or planning to relocate before starting work (Preferred)
Education:
- Bachelor’s (Preferred)
Experience:
- Event planning: (Preferred)
- ParishSoft/Flocknote/CRM: (Preferred)
- EventBrite/CVENT: (Preferred)
Work Location: In person
Candidate must successfully complete a Level II FBI background screening and complete Safe Environment Training with the Diocese of St. Petersburg prior to employment.
