The Parish Secretary is responsible for the clerical, administrative, and communication functions of the Parish Office.

Duties may include but are not limited to the following:

  • Typing letters, agendas, meeting notes, certificates, forms
  • Assist the Pastor with correspondence as requested
  • Maintaining and organizing electronic and paper filing
  • Opening and distributing mail and correspondence as appropriate
  • Communicating with Diocesan offices, vendors, and parishioners
  • Answering and responding phone calls and emails
  • Greeting visitors and responding to general questions
  • Answering phone calls and ensuring information is forwarded to the appropriate person
  • Maintaining the parish calendar
  • Adhere to deadlines
  • Maintain and order office supplies
  • Maintain the voice message system, keeping announcements and the marquee up to date for Holy Days, holidays, and any parish events
  • Responsible for handling bulletin information
  • Assist parish staff as appropriate
  • Responsible for dealing with sensitive and confidential information and ensuring information sis not shared  
  • Other related tasks as assigned by Pastor

Qualifications:

  • Must be an individual of high morale character experienced in dealing with confidential information
  • A detailed oriented individual that must have above average typing and word processing skills, advanced knowledge of Microsoft Office applications, and excellent organizational skills
  • Must have knowledge of general office procedures
  • Must have knowledge of using a copier and scanner 
  • Must have the ability to understand and follow directions as well as work independently.   
  • The Parish Secretary needs to be mature, courteous, and be able to interact well with others.  Cordial and effective communication with priests, parishioners, office workers, committee members, council members, and Diocesan personnel is a MUST. 
  • As a visible representative of the parish and sometimes the ONLY person in the parish office the Parish Secretary will need to put the interests of the parish first in any and all actions and communications with others  

Candidate must successfully pass a Level II FBI Background Screening and complete safe environment training.
