Position Title: Parish Secretary (Part-Time)
Reports To: Business Manager
Employment Status: Part-Time (20-29 hours per week)
Position Summary
The Part-Time Parish Secretary serves as the welcoming presence of the parish office and provides
administrative and clerical support under the direction of the Business Manager. The position supports
day-to-day operations through communication, records management, volunteer coordination, customer
service, and coordination of weddings and funerals.
Works Closely With
Pastor, Clergy, Business Manager, Parish Staff, Ministry Leaders, Volunteers, and Parishioners.
Essential Duties and Responsibilities
- Reception and Parishioner Services: Welcome visitors, answer phones and emails, provide parish
information, and maintain a hospitable office environment. - Administrative Support: Prepare correspondence, maintain calendars, process mailings, manage office
supplies, and support the Business Manager. - Volunteer Coordination: Coordinate, recruit, train, schedule, and supervise office volunteers including
receptionists and support volunteers. - Parish Records: Maintain parishioner and sacramental records and process certificate requests.
- Funeral Coordination: Serve as the primary point of contact for funerals and assist families with planning
and documentation. - Wedding Coordination: Serve as the primary point of contact for weddings and assist couples with
scheduling and documentation. - Communications Support: Support bulletins, announcements, Mass intentions, and parish
communications. - Financial and Office Support: Assist with payments, deposits, stewardship records, and office
documentation. - Other Duties: Maintain confidentiality, comply with diocesan policies, complete Safe Environment and
background screening requirements, and perform other duties assigned by the Business Manager.
Qualifications
High school diploma required; associate degree preferred. Two or more years of administrative experience
preferred. Proficiency in Microsoft Office, strong organizational and interpersonal skills, ability to coordinate
volunteers, maintain confidentiality, and support the mission of the Catholic Church.
Compliance Requirements
Must complete Diocese of St. Petersburg background screening and Safe Environment training and maintain
compliance throughout employment.
Schedule
20-29 hours per week, regular weekday office hours, with occasional flexibility for parish events, weddings,
and funerals.
