Overview
The Office Administrator is a pivotal member of the Catholic Student Center (CSC) team, working collaboratively with the Business Manager and other CSC staff and volunteers to achieve the vision and mission of the CSC. This role serves as the initial point of contact for the CSC and is responsible for its ongoing administrative needs. The position reports directly to the Business Manager.
Payment Rate and Schedule
This is a full-time position, of 35-40 hpw, with benefits. Specific hours will be determined, recognizing that there may be a need for flexible scheduling in any given week.
The pay rate is between $21-26/hour depending upon experience.
Primary Responsibilities Due to the nature of the ministry, these responsibilities are not exhaustive and may vary as needed to accomplish this position.
- Receptionist & Front desk responsibilities
- Liturgical and sacraments record management and maintenance
- Office Administration, including scheduling, communications, mail, office supplies, etc.
- Finance responsibilities include some bookkeeping areas in collaboration with the diocesan accounting office.
- Assist the Director of Advancement with benefactor and member communications and the development of materials for presentations, mailings, etc.
Qualifications/Skills
- Must be an active member of a Catholic community, demonstrating personal knowledge of the Catholic faith and commitment to Catholic ideals.
- Education: High school diploma required; Associate’s or Bachelor’s degree in accounting or a related field preferred.
- Experience: Prior experience in office/secretarial work, professional training, or certificates is highly desirable but not required.
- Strong knowledge of Word, and Excel is required.
- Strong knowledge of accounting is preferred
- Basic knowledge of parish operations is preferred.
- Exceptional interpersonal, communication, and writing skills are required.
- Collaborative/friendly work style with ability to project professionalism and sincerity.
- Possess good organizational skills and is capable of multitasking.
- Produce work in a timely manner and be able to meet deadlines.
- Detail-oriented, deadline-aware, persistent, helpful, team-minded, and personable.
- Great customer service skills.
- Ability to operate business office equipment (e.g., adding machine, copier) and demonstrated competence in computer software (all Microsoft Office products and database programs), with the ability to learn new programs.
- Ability to maintain accurate records and ensure confidentiality.
- Ability to read and comprehend instructions, correspondence, and memos.
- Ability to write correspondence.
- Successful completion of a Level II (FBI) criminal history background check and attendance at Safe Environment Training.
