Job Summary
The Administrative Assistant for Missionary Discipleship provides administrative, clerical, communication, and organizational support for departmental operations and ministry initiatives within the Diocese of Saint Petersburg. This position assists with daily office functions, communications, scheduling, records management, financial documentation, and general office coordination.
The ideal candidate is highly organized, professional, detail-oriented, and able to manage multiple responsibilities in a collaborative, faith-based environment while maintaining confidentiality and professionalism.
Duties
- Prepare correspondence, reports, presentations, and ministry materials.
- Maintain administrative and financial records, including expense tracking and reimbursement documentation.
- Assist with scheduling meetings, maintaining calendars, and coordinating office logistics.
- Operate office technology and computer systems necessary for administrative support.
- Initiate follow-up for ongoing projects and departmental tasks.
- Assist with diocesan reporting, surveys, and data collection processes.
- Maintain organized electronic and hard-copy filing systems.
- Support billing, contracts, and office documentation processes.
- Answer telephone calls, respond to general inquiries, and direct calls appropriately.
- Prepare meeting spaces and assist with hospitality needs as necessary.
- Maintain accurate databases, contact lists, and communication records.
- Assist with newsletters, correspondence, announcements, and other communications.
- Update website content, calendars, and ministry resources as assigned.
- Order office supplies and maintain general office organization.
- Perform additional duties as assigned.
Requirements
- High school diploma required; additional coursework in business, administration, or related fields preferred.
- Active member of a Roman Catholic parish faith community required.
- Previous administrative or office experience preferred.
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and exercise mature judgment.
- Proficiency with Microsoft Office and general office technology.
- Comfortable learning communication platforms, databases, and office systems.
- Ability to work collaboratively and professionally in a fast-paced environment.
- Ability to support the mission and values of the Catholic Church.
- Successfully complete FDLE Level II Criminal Background Screening and meet diocesan standards of conduct.
