Job Summary
The Donor Services Manager is responsible for the technology, databases, and systems that support fundraising initiatives across the Diocese, Catholic Foundation, parishes, and schools. This role leads the Donor Services Team under the Director of Donor Relations and serves as the primary expert for diocesan and parish database platforms, ensuring the integrity, security, and effective use of donor and parishioner data to advance the mission of the Diocese of Saint Petersburg.
The position works closely with the Senior Director of Development, Director of Annual Appeals, and Director of Donor Relations, and collaborates broadly with parish staff, pastoral center offices, finance, information technology, and third-party vendors.
Major Duties & Responsibilities
Systems Administration
- Administer and maintain the diocesan donor database (Salesforce) and online giving platform (GiveCentral).
- Administer parish database platforms including Ministry Platform and ParishSOFT Family Suite.
- Serve as primary contact for vendor support, maintenance, system enhancements, and training.
- Manage system integrations with online giving, parish databases, and financial software.
- Configure campaign structures, gift processing templates, major donor cultivation tools, and giving circles.
Data Management
- Maintain the integrity, security, accuracy, and confidentiality of all donor and parish data.
- Manage all data imports including gift processing, online giving, lockbox processing, and parish parishioner data.
- Manage data exports for the Catholic Ministry Appeal, diocesan campaigns, Gulf Coast Catholic magazine, and other mailings.
- Develop ask amounts and gift charts for appeal mailings in accordance with leadership direction.
Reporting & Analytics
- Build dashboards and reports for campaign performance, parish participation, and donor engagement.
- Track key performance indicators for annual appeals and diocesan campaigns.
- Develop custom reports and queries for donor database, online giving, and parish database systems.
- Provide statistical reporting to diocesan leadership and analytics to support fundraising strategy.
Technical Support & Training
- Provide timely technical support and training for development staff and parish staff.
- Create documentation and Standard Operating Procedures in alignment with leadership direction.
- Manage case tracking in donor database system and resolve database, reporting, and integration issues.
System Integrations & Automation
- Manage integrations between donor databases, online giving portals, parish databases, and financial systems.
- Coordinate with third-party gift processing vendors and mail houses for accurate and secure data processing.
- Support automation for gift processing, pledge reminders, acknowledgements, and donor communications.
Qualities & Skills
- Bachelor’s degree in Business Administration, Finance, Information Technology, Data Management, or related field, or equivalent experience.
- 3+ years of experience in database administration, CRM software, or fundraising donor database systems.
- Must be a practicing Catholic
- Experience with nonprofit or donor database platforms preferred; parish database administration a plus.
- CRM/donor database systems: Salesforce Nonprofit Success Pack, Raiser’s Edge, ParishSOFT, and/or Ministry Platform.
- Online giving platforms such as GiveCentral.
- Advanced Microsoft Excel skills including macros, pivot tables, and complex formulas.
- SQL or database query experience; data import/export via XL Connector and Salesforce Data Loader.
- Microsoft Office 365, Microsoft Teams, and Zoom.
