Position Summary
The Bookkeeper serves as a staff resource in support of the Pastor by managing the financial and human resource functions of the parish. This position ensures accurate financial reporting, compliance with diocesan policies, and effective administration of payroll and employee records.
Essential Duties and Responsibilities
Financial Responsibilities
- Maintain accurate records of all parish financial transactions
- Prepare monthly, quarterly, and year-end financial reports for the Pastor, Finance Council, and Diocesan Accounting Office
- Perform bank reconciliations and manage accounts payable and receivable
- Process parish payroll in accordance with diocesan guidelines
- Assist in the preparation and monitoring of the parish budget
- Monitor income and expenditures to ensure alignment with budget and maintain adequate cash flow
- Serve as a liaison to parish ministries and organizations on financial matters
- Ensure timely payment of invoices and tracking of shared expenses (e.g., parish/school)
- Maintain contribution records and provide statements as requested
- Establish and monitor procedures for the collection, counting, recording, and depositing of parish funds
- Maintain working knowledge of Diocese of St. Petersburg financial policies and procedures
Human Resources Responsibilities
- Process bi-weekly payroll accurately and maintain payroll records
- Administer employee benefits in accordance with diocesan policies
- Maintain employee personnel files, including job descriptions and evaluations
- Prepare annual performance evaluation documentation for review by the Pastor
- Communicate updates related to the Diocese of St. Petersburg Employee Handbook and Time Off policies
Qualifications
- Associate’s degree in Accounting, Business Administration, or related field preferred
- Minimum of three (3) years of accounting or financial experience
- Working knowledge of general accounting principles, including budgeting and cash flow management
- Familiarity with payroll and human resource functions
- Strong organizational and analytical skills
- Ability to maintain confidentiality and exercise sound judgment
- Effective written and verbal communication skills
- Proficiency in standard accounting and office software
