GENERAL STATEMENT OF DUTIES:  This position, under the direct supervision of the Parish Operations Manager, provides clerical and administrative support to the parish office in accordance with established policies and procedures. Coordinates the needs of the parish office and works within the parish database.

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:

  • Assist Parish Admin Staff with scheduling appointments
  • Oversee volunteer receptionists
  • Record and coordinate outgoing phone messages with YourSip
  • Respond to general parish email/website inquiries (frontoffice@sjvcc.org emails)
  • Maintain parishioner database in PDS
  • Maintain parishioner database in OSV for envelopes
  • Oversee & approve Mass intentions (through Parish Solutions Mass Intentions app)
  • Assist parishioners with WeShare (online giving)
  • Assist with recording the weekly offertory (enter into PDS, track WeShare transactions, reconcile and balance data)
  • Sacraments & special liturgies
    • Receive and distribute calls for sacraments and funerals
    • Enter sacramental records in parish record books & database
    • Print and mail certificates
    • Receive, print, and file sacrament documents
  • Maintain the annual online parish calendar for events (masses, funerals, weddings, baptisms, Faith Formation sessions, special events, meetings, etc)
  • Attend major parish events & participate in weekly weekend staff table rotation
  • Other duties as assigned by the Pastor or Supervisor
  • Support and assist with parish/Diocesan wide events as needed

QUALIFICATIONS/SKILLS

  • Must be a practicing Catholic and be familiar with the parish and its organization and activities
  • Ability to operate office equipment (calculator, copier, computer, phones, etc)
  • Good understanding of the English language (written and spoken)
  • Ability to compose correspondence and announcements
  • Strong verbal and communication skills to positively interact with parish staff, visitors, and callers
  • Effective working knowledge of Microsoft Office and ability to learn and use various database management systems
  • Ability to schedule and produce work in a timely manner
  • Ability to work independently without supervision
  • Ability to maintain confidentiality in all areas of discretion
  • High School diploma or GED required to successfully accomplish the essential duties of this job.  Some College training preferred. Related professional training or certification is highly desirable. 
  • Successfully pass a level II (FBI) criminal history background check and complete Safe Environment Training
