St. Timothy Catholic Church in Lutz is looking for a reliable and detail-oriented Sacramental Recordkeeper and Administrative Assistant for a part-time role (20+ hours). From maintaining accurate sacramental registers and assisting clergy with documentation, to greeting visitors at the front desk and overseeing Monday offertory counts, your administrative expertise will keep our parish office running smoothly. Essential Duties and Responsibilities:
Sacramental Records
- Maintain the official sacramental registers of the parish, including Baptism, Confirmation, First Holy Communion, Marriage, OCIA, and Death records.
- Record all required sacramental notations, including marriages, confirmations, ordinations, declarations of nullity, adoptions (as directed by diocesan policy), and deaths.
- Prepare and issue certified sacramental certificates for authorized requests.
- Ensure sacramental records are maintained accurately, permanently, securely, and confidentially.
- Process notifications to and from other Catholic parishes regarding sacramental records.
- Assist clergy in preparing documentation required for Baptisms, Confirmations, Weddings, Funerals, and other sacramental celebrations.
- Maintain electronic sacramental records using Ministry Platform (or other approved parish management software).
- Prepare sacramental registers and documentation for diocesan audits or canonical inspections.
- Maintain strict compliance with Canon Law, diocesan policies, and parish confidentiality standards.
Offertory Counting
Must be available Monday mornings (or Tuesday mornings following a Monday holiday) to facilitate this process
- Prepare counting room each Monday morning and maintain counting supplies
- Enter offertory totals on count sheet and fill out bank deposit slips during weekly counting
- Schedule, train and facilitate volunteer counters
Office Front Desk Support
Perform front desk reception duties as needed, including:
- Welcome and facilitate office guests and vendors
- Answer main office phone to provide general information and direct calls to other staff members
- Assist with pick up and drop off of forms and materials
- Take payments for events, sacraments, registrations, mass intentions, etc.
- Handle incoming and outgoing mail
Required Qualifications:
- Practicing Catholic in good standing who supports the teachings, mission, and values of the Catholic Church.
- High School Diploma or GED.
- Minimum of two years of administrative office experience.
- Excellent written, verbal, and interpersonal communication skills.
- Exceptional penmanship.
- Strong organizational and multitasking abilities.
- Exceptional attention to detail.
- Able to maintain complete confidentiality.
- Able to interact with parishioners, volunteers, vendors, and staff with friendliness, sensitivity, and discretion
- Proficient with Microsoft Office (Word, Excel, Outlook), Google Workspace, and parish database software.
- Able to work independently and collaboratively in a ministry environment.
