Job description:

The Parish Manager serves as the central point of coordination for all parish administrative, operational, and facility matters. Acting as the Pastor’s primary support, this role ensures the smooth functioning of parish life by overseeing day-to-day office operations, managing the Pastor’s and Priests’ calendars, coordinating facility upkeep, and serving as the first point of contact for parishioners, ministries, and visitors. This position requires a highly organized, adaptable, and resourceful individual who can manage a wide variety of responsibilities with discretion and professionalism.

Administrative and Communication

  • Serve as the primary contact for parishioners, visitors, and ministry leaders regarding events, programs, and parish needs.
  • Manage and maintain the Pastor’s and Priests’ Mass, sacramental, and parish event schedules.
  • Read, respond to, and route parish emails and phone calls in a timely manner.
  • Prepare and distribute internal communications to staff and volunteers.
  • Maintain parish databases (e.g., PDS, Parishsoft) with current parishioner, sacramental, and contribution records.
  • Process offertory, regular collections, and EFT donations; prepare deposits for submission.
  • Prepare and organize documents for meetings, events, and diocesan reporting.
  • Oversee administrative workflows to ensure timely and accurate handling of parish records, correspondence, and reporting requirements.
  • Ensure the parish is in compliance with diocesan policies and applicable civil regulations, especially related to Safe Environment and data protection.

Financial and Vendor Management

  • Receive, process, and file invoices weekly; scan and submit invoices for input into ParishSoft; print, prepare, and distribute checks after Pastor approval.
  • Coordinate with the Diocese Finance Office as needed for financial reporting and compliance.
  • Maintain donation and deposit records.
  • Schedule and coordinate services, repairs, and ongoing contracts with vendors.
  • Monitor vendor performance and maintain vendor files and agreements.

Event & Ministry Coordination

  • Serve as the information hub for parish events, providing guidance on facility use, scheduling, and logistical needs.
  • Coordinate with ministry leaders to ensure smooth execution of weddings, funerals, parish socials, liturgical celebrations, and community events.
  • Maintain an accurate parish calendar and resolve scheduling conflicts.
  • Ensure events comply with parish and diocesan policies.

Staff Support & Leadership

  • Meet regularly with parish staff to provide updates, clarify responsibilities, and encourage collaboration.
  • Assist staff with administrative needs, technology support, and scheduling.
  • Act as the Pastor’s liaison to staff, parishioners, ministries, and the Diocese.
  • Maintain strict confidentiality regarding parishioner information, personnel matters, and parish finances.

QUALIFICATIONS

  • Practicing Catholic with an understanding and respect for the teachings and mission of the Catholic Church.
  • Previous administrative or office management experience, preferably in a parish or nonprofit environment.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Proficiency with Microsoft Office Suite, Google Workspace, and parish software (PDS, Parishsoft preferred).
  • Strong written and verbal communication skills.

Ability to work collaboratively with staff, parishioners, volunteers, and vendors.
